Refund Policy – Youth Emerging Forum

At Youth Emerging Forum (YEF), we are committed to delivering a high-quality and seamless experience for all participants at our conferences and global programs. We understand that, in certain situations, delegates may require clarification regarding refunds. This Refund Policy outlines the terms, conditions, eligibility criteria, and limitations governing refund requests for registrations made through our official platforms.

General Principles

• All applicants must review and agree to Youth Emerging Forum’s Terms & Conditions before completing registration.

• By registering for any Youth Emerging Forum event, participants acknowledge and agree to all clauses of this Refund Policy.

• All approved refunds are issued exclusively in the form of Youth Emerging Forum Credit Vouchers (YEF-CVs). These may only be redeemed for future Youth Emerging Forum conferences or events.

Non-Refundable Categories

The following categories are strictly non-refundable and non-transferable:

Fully Funded Applicants

The application fee under the Fully Funded category is mandatory, non-refundable, and cannot be disputed or transferred.

Invitation Letter Only Applicants

Fees paid for the Invitation Letter category are non-refundable and non-transferable. Youth Emerging Forum provides the invitation letter solely for visa-support purposes. Securing a visa remains the applicant’s responsibility.

Eligible Categories for Youth Emerging Forum Credit Vouchers (YEF-CVs)

Important: All approved refunds will be provided only in the form of Youth Emerging Forum Credit Vouchers (YEF-CVs), redeemable for future Youth Emerging Forum conferences or events.

Delegates applying as:

• Self-Funded Delegates

• Forum Access Pass Delegates

may be eligible for a YEF-CV only if all conditions below are met.

Eligibility Conditions

• Full registration fee must be paid in one single transaction. Installment payments are not eligible for YEF-CVs.

• Refund request must be submitted at least 45 days before the event start date.

• Requests must be sent via email to: info@youthemergingforum.org

• Email subject line: Refund Request – [Conference Name]

The delegate must provide:

• Full Name

• Order Number

• Reason for the refund request

• Supporting documents (if applicable)

Cancellation Fees & YEF-CV Issuance Timeline

The following cancellation structure applies to eligible categories:

• 45 days prior to the conference:
  No cancellation fee; full amount issued as YEF-CV

• 45 to 30 days prior:
  25% cancellation fee; remaining balance issued as YEF-CV

• 30 to 15 days prior:
  50% cancellation fee; remaining balance issued as YEF-CV

• 14 to 0 days prior or no-show:
  100% cancellation fee; no refund or voucher issued

Installment Plan Clause

• If only the first installment has been paid, it is treated as a non-refundable cancellation fee.

• No YEF-CV will be issued for installment-based registrations.

Youth Emerging Forum Credit Voucher (YEF-CV) Terms

• Validity: 12 months from the date of issuance

• Non-Transferable: Usable only by the original recipient

• No Cash Value: Cannot be exchanged for money

• Single Holder Use: Cannot be transferred to another applicant

• Partial Use: Any unused balance remains valid until expiry

• Usage Limitation: Valid only for Youth Emerging Forum–organized events

Special Circumstances (Force Majeure)

Youth Emerging Forum reserves the right to modify, postpone, or cancel events due to circumstances beyond reasonable control, including natural disasters, political instability, pandemics, or government restrictions.

Refund requests under such circumstances will be reviewed on a case-by-case basis. Youth Emerging Forum shall not be liable for direct or indirect losses arising from force majeure events.

Travel Reimbursement (Fully Funded Delegates)

Fully Funded Delegates who attend the entire conference will receive a reimbursement form requesting basic and bank details.
Processing time: 4–8 weeks after form submission.

Policy Amendments

Youth Emerging Forum reserves the right to revise or amend this Refund Policy at any time.

• Continued use of the registration platform constitutes acceptance of updated policies.
